Setup Time Guidelines
General Approach
- Setup times are determined by the client via the pre-wedding checklist, due 4 weeks before the event.
- A reminder will be sent 8 weeks out, but the checklist link is also in the contract email.
Ceremony & Cocktail Hour
- The soloist arrives approximately 1 hour before the ceremony to set up.
- Example: 3:00 PM ceremony → Soloist arrives around 2:00 PM, setup complete before guests arrive.
Dance Band
- Setup time is based on the start of dinner.
- Example: 6:00 PM dinner → Setup between 4:45 PM – completed by 5:30 PM (latest).
Exceptions
Post-Dinner Setup: If the venue requires it due to space constraints, setup may happen after dinner and speeches while clearing a dance floor.
Separate Dance Area: If the dancing space is different from the dining/speeches area, arrival will be at least 80 minutes before the first dance.
Early Arrivals : In some cases, the band may arrive earlier than the stated times, but the above guidelines indicate the latest expected setup times.
